For me one of the crucial factors in holding a successful event be it corporate, conference or gala dinner is to achieve the perfect atmosphere. Having a great atmosphere enables your guests to relax, interact with one another and delegates to enjoy the day’s proceedings.
There are many factors to consider when creating the perfect atmosphere. Choosing the right location
Getting the venue right is the first and crucial step. Every Event Planner wants to find that innovative space to create inspired experiences. Having the right venue for the type of event you are holding will enhance the atmosphere in itself. For a conference day choose a location that offers natural light, outdoor break options, and a comfortable venue. Your guests are going to be sitting in one place for the better part of eight hours, pick somewhere bottom friendly.
Set the mood with lightening
Setting the mood lighting is generally more for an evening event rather than a conference day. It immediately sets an atmosphere and creates a dramatic first impression. My advice is to bring in the professionals - they can transform a venue space creating the atmosphere using varying colours and intensities of light to give an amazing visual impact. In terms of lighting for your delegates, like I said keep it natural with plenty of outdoor light.
Entertainment
Bring some fun to the meeting agenda with creative projects breaks. When guests have a full day of business the schedule should allow them time to unwind, even briefly. Just like food and beverage breaks are an important part of the meeting experience, so should activity/entertainment breaks.
Keep attendees engaged, on their toes and on top of their game by adding:

- Try some fun/entertaining brain activities.
Food and drink
Food and beverage breaks usually provide drinks and snacks. They also allow delegates to get up, stretch, call the office and check emails. A refreshment break is an energy break. It is intended to refresh and sharpen attention. It also helps alleviate boredom that tends to develop when guests are engaged in tedious business activities all day. These breaks usually offer various types of "mood foods” that increase attendees' enthusiasm to tackle the rest of the day's work schedule.
